Job Title:   Service Appointment Coordinator

 

Reports to: Service Manager

 

Position Summary: The Service Receptionist is responsible for routing all incoming calls, taking thorough messages and providing basic information to callers. Must represent the facility in a professional, friendly manner at all times. Must present a professional appearance.

 

Essential Duties & Responsibilities:

 

  • Answer all incoming telephone lines in a timely manner.
  • Route calls and/or take thorough messages.
  • Communicate with callers in a professional, friendly and efficient manner, striving to minimize the time the caller is placed on hold.
  • Communicate messages to the appropriate parties in a timely manner.
  • Provide basic information to callers who have general inquiries.
  • Update and distribute company telephone roster when necessary.
  • Perform general clerical duties.
  • Sets all Service Department appointments (Import and Domestic).
  • Updates customers throughout the day on the status of their vehicles and promise times.
  • Contacts customers daily on arrival of special order parts received and sets service appointments to have them installed.
  • Covers main switchboard operators position when she goes to lunch.
  • Helps the advisors in the afternoon with the service delivery and closeout.
  • Complete all training as directed by supervisor.
  • Follow policies and procedures as set forth in Employee Handbook.
  • Warranty Clerical duties 
  • Any other duties as assigned.

 

Knowledge, Skills and Abilities Required:

 

Educational: High school diploma or the equivalent.

 

Experience: None.

 

Special Skills (i.e., licenses, certifications, etc.): Excellent oral communication skills. Must speak clearly on the telephone, and convey an image of professionalism and competence to callers. Ability to read and comprehend instructions and information. Ability to use personal computer applications including word processing and spreadsheet applications.

 

Physical Demands and Working Conditions:

 

Frequently works on a computer or doing other “close vision” work. Occasionally requires the ability to lift 20 pounds of material. Is potentially exposed to battery acid, gasoline, chemical cleaning materials or other toxic materials commonly found in a motor vehicle dealership. Occasionally, exposed to loud noise, exhaust fumes or other airborne particles.
